Typical duties of the Transit Office Assistant:

  • Act as receptionist for the office – greeting visitors, answering the telephone, screening and routing calls, providing ticketing and scheduling assistance, etc.
  • Enter trip requests into the agency’s reservation and dispatch software.
  • Assist staff with reservation and will-call dispatching and scheduling.
  • Prepare correspondence, take and transcribe meeting minutes, perform data entry, assist with monthly reports.

GENERAL STATEMENT OF DUTIES

The position of Transit Office Assistant is designed to provide support for the transit office.  This position will work closely with the Transit Manager and administration office staff to coordinate various agency objectives.  The responsibilities of the Transit Office Assistant are intended to absorb the bulk of the routine daily workload and assist with service delivery.

SUPERVISION RECEIVED

Works under the supervision of the Transit Manager.

SUPERVISION EXERCISED

This position has no supervisory responsibilities.

TYPICAL EXAMPLES OF WORK

(Any one position will not usually involve all the duties listed, and many positions involve duties which are not listed.)

  1. Act as receptionist for the office – greeting visitors, answering the telephone, screening and routing calls, providing ticketing and scheduling assistance, etc.
  2. Enter trip requests into the agency’s reservation and dispatch software.
  3. Assist customers with Greyhound information and ticketing.
  4. Prepare correspondence, take and transcribe meeting minutes, perform data entry, assist with monthly reports.
  5. Assist staff with marketing and outreach.
  6. Assist with scheduling of rental events at the transit center.
  7. Assist staff with reservation and will-call dispatching and scheduling.
  8. May need to travel out of town, occasionally overnight.
  9. Other duties as assigned.

REQUIRED EDUCATION & PREFERRED SKILLS

A high school diploma or the equivalent is required.

High School or college level training in secretarial or bookkeeping is highly desirable.  Any satisfactory equivalent combination of experience and training which insures the ability to perform the work may be substituted for the above.

General knowledge of standard office procedures and operation of office machines and common business software products.  Ability to type 30 – 40 wpm, perform accurate data entry, and work pleasantly with the public and other staff members.  Ability to follow written and oral instructions and to organize and complete tasks in a timely manner.

Bilingual (specifically Spanish – English) and/or casual experience with Standard Query Language highly desirable.
